The most common mistakes when packing machinery for export – how to avoid them and secure the load
Packaging machinery for export is a process in which any mistake can cost tens or hundreds of thousands of zlotys. A damaged CNC machine, a corroded hydraulic system or a crushed control panel is not just a matter of repair or replacement costs – it leads to production downtime at the customer’s site, project delays and a loss of trust on the part of the client. At Danpol, we have been packing industrial machinery and equipment for export for over 30 years – from precision measuring instruments to multi-tonne production lines. In this article, I describe the most common mistakes we see in the industry and show how to avoid them effectively.
Error 1: Underestimation of the dynamic forces acting on the load
This is probably the most costly and most common mistake. Many shippers design packaging solely to withstand the static load of the machinery, without taking into account the dynamic forces encountered during transport. Yet the accelerations acting on the load during transport can be very significant.
In maritime transport, a container on a ship is subjected to rolling – lateral forces can reach 0.8 g, and longitudinal forces 0.4 g. In road transport, sudden braking generates forces of the order of 0.8–1.0 g in the direction of travel. In air transport, vertical accelerations during turbulence reach 2.0–3.0 g. This means that a machine weighing 3 tonnes behaves as if it weighed 9 tonnes during turbulence.
How can this be avoided?
The packaging design must take into account strength calculations based on actual dynamic forces. At Danpol, we analyse the transport route and method of carriage on a case-by-case basis – we design the securing of machinery differently for a 40 HC sea container than for a low-loader trailer used for road transport across Europe. We use 6-way securing (front-back, left-right, top-bottom) utilising Cordstrap woven straps, wooden blocks and anti-slip pads, selected for specific transport conditions in accordance with IMO/ILO/SOLAS guidelines.

Error 2: No or insufficient corrosion protection
Metal corrodes. This is obvious – and yet corrosion protection is one of the most frequently neglected aspects of export packaging. The problem is particularly acute in sea transport, where the humidity inside a container can exceed 90%, and temperature fluctuations between day and night cause condensation – known as ‘container rain’. A few weeks in such conditions is enough for rust to appear on unprotected steel surfaces.
The most common mistakes in corrosion protection
Using stretch film alone – stretch film does not act as a corrosion barrier. It does not protect against moisture or condensation inside the packaging. It merely provides mechanical protection against dust.
Failure to protect the internal parts of the machine – whilst the external surfaces are usually painted, the interior of the machine – guides, bearings, spindles and hydraulic systems – requires separate protection. Corrosion of these components is difficult to detect upon unpacking and only becomes apparent during commissioning.
Combining VCI film with barrier film into a single product involves two separate protective systems with different functions. VCI film releases volatile corrosion inhibitors that directly protect metal surfaces. Aluminium barrier film (ALU) creates an airtight seal that isolates the interior of the packaging from external moisture. Both systems should be used in parallel, not interchangeably.
How do we do it at Danpol?
We use a two-stage protection system. The first layer – ZERUST/EXCOR VCI film – is wrapped directly around machinery and metal components. Volatile corrosion inhibitors reach every crevice, bearing and guide. The second layer – aluminium barrier film – hermetically seals the entire package and, in combination with vacuum packaging or desiccants, provides protection for up to 24 months. This is crucial for long sea voyages and storage in transit ports.

Error 3: Unsuitable wooden packaging – no ISPM 15 certification or poor construction
Wood is the primary construction material used in export crates – but poorly prepared or uncertified wood can cause serious problems. The most common mistakes in this area are:
Lack of ISPM 15 certification – wooden packaging exported outside the European Union must be made of heat-treated (HT) wood and marked with an IPPC stamp that is permanently and legibly printed. The absence of the stamp results in the consignment being detained at the border, fumigation at the sender’s expense, and delivery delays of several weeks. This applies not only to the crate itself, but also to platforms, pallets and any wooden components within the packaging.
Wood that is too damp – wood with a moisture content exceeding 20% is susceptible to the growth of fungi and mould. In a sealed shipping container, this problem is exacerbated by temperature fluctuations. Mould on the packaging may result in the cargo being rejected by the phytosanitary authorities of the destination countries – particularly Australia, New Zealand and China.
A design unsuitable for the load weight – a platform that sags under the weight of the machine or breaks when lifted by a crane is the result of incorrect strength calculations. The platform must be able to withstand not only static loads, but also the dynamic forces of transport and the point loads generated during lifting.
At Danpol, we hold ISPM 15 certification and apply heat treatment with parameters that exceed the minimum requirements of the standard. We have our own timber kiln, which gives us full control over the moisture content of the material. Every crate and platform is custom-designed, taking into account the weight, geometry and mode of transport of the load.
Mistake 4: Failing to take into account requirements specific to the target country
Every export market has its own regulations regarding wooden packaging – and many of them go beyond the standard requirements of ISPM 15. The most common mistake is to assume that holding an ISPM 15 certificate automatically opens the door to every market. In practice:
Australia (DAFF/BICON) – has some of the strictest phytosanitary requirements in the world. Timber is subject to thorough inspection, and any sign of mould or insects will result in fumigation or the destruction of the packaging at the importer’s expense. An additional supplier’s declaration is required.
USA (APHIS/CBP) – in addition to ISPM 15, regulations regarding labelling and customs declarations apply. Errors in the documentation may result in fines and delays.
China (GACC) – requires wooden packaging to be registered with the GACC system. Border inspections are rigorous – particularly at the ports of Shanghai and Tianjin.
Gulf Cooperation Council (GCC) countries – often require additional fumigation with methyl bromide (MB) or a declaration that certain chemicals have not been used. Requirements vary between individual GCC countries.

Mistake 5: Packaging not suited to internal transport methods
The machine arrived in perfect condition – but it cannot be removed from its packaging. This is a scenario that occurs more often than one might think. The reason: the packaging was designed without taking the recipient’s unloading facilities into account.
Common problems include: a container without pockets for forklift forks (forcing the use of a crane, which the recipient may not have), a lack of lifting lugs (requiring improvised sling attachment, which is dangerous), a platform that is too wide for the hall doors or too heavy for the floor, and the inability to remove the lid without dismantling the entire box (which hinders inspection and partial unloading).
Solution: reverse engineering
At Danpol, we design packaging ‘backwards’ – we start by analysing the unloading conditions at the customer’s premises. We enquire about the available internal transport equipment (overhead crane, forklift, mobile crane), the dimensions of doors and passageways, the floor load-bearing capacity, and the assembly sequence. Based on this, we design crates with appropriate lifting points, removable lids, inspection hatches, and markings indicating weight and centre of gravity. This ensures that unloading proceeds smoothly, without improvisation and without the risk of damage.
Mistake 6: Lack of photographic documentation of the packaging process
This is a mistake that does not cause any immediate damage – but becomes critical when a claim is made. Without photographic evidence of the packing process, the sender is unable to prove that the machine was properly secured when the crate was sealed. The insurer rejects the claim, and the dispute between the sender, the carrier and the recipient drags on for months.
At Danpol, we document every stage of the packing process – from preparing the crate, through arranging and securing the load, applying VCI film and barrier film, to sealing and tamper-proofing. Each set of documentation includes at least a dozen or so dated photographs, which serve as proof of proper protection. For high-value cargo, we work with SGS Poland to carry out an independent inspection of the cargo before the packaging is sealed.
Mistake 7: Skimping on packaging in relation to the value of the cargo
Paradoxically, the more expensive the machinery, the more often shippers try to cut corners on packaging. The logic is understandable – the project budget is tight, and packaging seems like an ‘additional cost’. In practice, however, the cost of professional export packaging usually accounts for 1–3% of the cargo’s value – whereas damage during transport can result in losses of 20–100% of the value, including repairs, downtime and contractual penalties.
A typical example: a CNC machine worth PLN 800,000. The cost of professional export packaging – a custom-made crate with a full securing system and anti-corrosion protection – is approximately PLN 12,000–18,000, or around 2% of the machine’s value. The cost of repairing a damaged spindle or replacing a control panel following transport in unsuitable packaging is PLN 40,000–120,000 plus 2–6 weeks of downtime.
It is also worth bearing in mind the insurance aspect. Many cargo insurance policies contain clauses that exclude the insurer’s liability in the event of ‘inadequate packaging’. Without professional packaging and documentation, the sender bears the full risk.
Mistake 8: Ignoring weather conditions along the transport route
A machine being shipped from Poland to Norway requires a different approach to one being sent to Saudi Arabia or Indonesia. Differences in temperature, humidity, sunlight exposure and even the salinity of the air on sea routes – all these factors influence the choice of materials and protective systems.
The most common mistakes include failing to account for condensation in containers moving between different climate zones (e.g. the Europe–South-East Asia route via the Suez Canal), underestimating the impact of UV radiation on protective films during storage in open port yards, and the absence of desiccants in packaging intended for long-term storage in tropical climates.
At Danpol, we select a protective system tailored to the specific route. For shipments to tropical countries, we use reinforced barrier protection with moisture absorbers and humidity indicators, enabling the conditions inside the packaging to be monitored upon arrival. For Arctic destinations, we take into account the impact of low temperatures on the flexibility of the film and strapping.
Error 9: Lack of labelling and instructions on the packaging
Export packaging is not just a crate – it also provides information for every participant in the logistics chain. A lack of proper labelling leads to errors in handling, storage and unloading. The most common oversights are:
The absence of ISO 780 symbols – international handling symbols (such as ‘up’, ‘do not invert’ and ‘keep dry’) – means they can be understood regardless of language barriers. Their absence indicates that a dockworker in Shanghai does not know how to handle the cargo.
Failure to indicate the weight and centre of gravity – crucial for safe lifting by a crane or forklift. An unmarked centre of gravity poses a risk of tipping during lifting and could lead to a potentially catastrophic accident.
No unpacking instructions – for complex securing systems, it is advisable to include instructions on the correct order of removal. A recipient who removes the securing devices in the wrong order may cause the load to shift uncontrollably.
At Danpol, every export package is fully labelled – including handling symbols, gross and net weight, external dimensions, centre of gravity, customer order number and contact details. For loads with a complex securing system, we include unpacking instructions in English, complete with photographs.
Mistake 10: Outsourcing packaging to companies with no experience in exporting
There are many companies on the market offering packaging services – but not all of them have experience in packaging machinery for export. Domestic packaging (road transport within Poland) and export packaging (sea transport to Australia) are two completely different worlds in terms of requirements, standards and risks.
A company packaging machinery for export should hold: an ISPM 15 certificate, a quality management system (e.g. ISO 9001:2015), experience in packaging that takes into account various modes of transport (sea, air, road), knowledge of the customs and phytosanitary requirements of individual markets, technical facilities capable of handling heavy and bulky loads, and access to professional protective materials.

Packing checklist for machines intended for export – 12 checkpoints
To conclude, here is the checklist we use internally at Danpol for every export packaging order. It may serve as a starting point for developing your own procedure:
1. Analysis of the load’s weight, dimensions and geometry – determination of the centre of gravity.
2. Identification of the transport route – means of transport, climatic conditions, customs requirements.
3. Analysis of unloading conditions at the consignee’s premises – available internal transport options.
4. Design of a box or platform – strength calculations, selection of materials.
5. Verification of ISPM 15 certification – heat treatment, IPPC stamps printed on each wooden component.
6. Selection of a corrosion protection system – VCI film for the cargo, ALU barrier film for the packaging, and moisture absorbers.
7. 6-way load securing – Cordstrap straps, locks, anti-slip pads.
8. Packaging markings – ISO 780 symbols, weight, centre of gravity, sender/recipient details.
9. Photographic documentation of the packaging process – at least a dozen or so photos with a date stamp.
10. Unpacking instructions – for assembled mounting systems.
11. Pre-shipment inspection – verification of the completeness and correctness of the protective measures.
12. Export documentation – packing list, certificates, phytosanitary certificates.
Frequently Asked Questions
Does every exported machine require a wooden crate? No – the choice of packaging depends on the machine’s weight, value and fragility, as well as the mode of transport. Lighter equipment (up to several hundred kilograms) can be transported on pallets with a plywood superstructure or in frame crates. Heavy machinery (over a tonne) requires solid crates or platforms with dedicated fastenings.
How long does it take to pack a machine for export? The time required depends on the complexity of the shipment. Packing a standard machine weighing 1–3 tonnes usually takes 1–2 working days. Bulky shipments or those requiring special securing systems may take 3–5 days, including the manufacture of the crate and the preparation of documentation.
Does Danpol pack machines at the customer’s premises? Yes – we carry out packing both at our own facilities and at the customer’s premises. For machines where transport to our facility would be uneconomical or risky, we send a fully equipped packing team to the site.
How should you insure a machine during transport?
We recommend an all-risk cargo insurance policy. It is important that the policy does not contain a clause excluding liability for ‘inadequate packaging’ – professional packaging accompanied by documentation eliminates this risk. We can provide a packaging certificate confirming that the packaging meets the requirements.
Does the box platform also need to bear the IPPC stamp?
Yes – every wooden component in export packaging, including the platform, base pallet and any load-bearing components, must be made of heat-treated wood and bear the IPPC stamp. This applies to exports outside the European Union.
